ROLE
We need an experienced Administrative Support professional to manage Facility and Audio-Visual functions at the U.S. Trade and Development Agency (USTDA). USTDA helps advance overseas infrastructure projects that create opportunities for U.S. exports while supporting jobs at home. In this role, you will coordinate scheduling and logistics for USTDA’s training center and conference rooms, ensuring that meeting spaces and equipment are prepared, functional, and supported for agency events. You will maintain event calendars, perform room set-ups, oversee audiovisual operations, troubleshoot minor technical issues, and coordinate with staff, contractors, and service providers to support high-level meetings and delegations. RESPONSIBILITIES
  • Coordinate scheduling and reservations for USTDA’s training center and conference rooms, maintaining agency-wide events and meetings calendars
  • Perform room set-up of furniture, refreshment stations, and audiovisual equipment to support internal meetings, training, and high-level delegation events
  • Ensure audiovisual and teleconferencing equipment is operable, troubleshoot minor connection issues, and coordinate repair visits with audiovisual contractors as needed
  • Support the CIO/Deputy CIO in system-related IT issues and upgrades for conference room technology
  • Conduct regular walk-throughs of conference and training spaces to check functionality, escalate issues, and confirm readiness for agency use
  • Ensure conference rooms, training center, kitchens, and pantries are stocked, maintained, and cleaned following events, coordinating with staff, contractors, and caterers as needed

REQUIRED SKILLS/EXPERIENCE
  • At least 7 years of administrative management or relevant work experience
  • Experience providing on-site technical support, troubleshooting issues with AV equipment during events such as microphone and monitor connectivity, presentations or visual material access
  • Experience creating and editing audio-visual content such as presentations and videos
  • Ability to provide training and technical assistance to staff
  • Proficient in the use of a variety of IT programs, databases, and computerized systems
  • Excellent written and verbal communication skills
  • Commitment to innovative and quality customer service
  • Experience setting up conference, board, or training rooms
  • Ability to manage multiple tasks, prioritize work, and meet deadlines
  • Ability to identify and resolve complex problems

REQUIRED EDUCATION / CERTIFICATIONS
  • Business or Information Management degree – Required

Regularly required to sit for extended periods up to 80% of the time; frequently required to move about to access file cabinets and use office equipment such as PC, copier, fax, telephone, cell phone, etc. Occasionally required to reach overhead, bend, and lift objects of up to 10 lbs. Specific vision abilities required by this job include the use of computer monitor screens up to 80% of the time.
